Privacy Policy

Last updated: October 1, 2026.

Traducasa LLC (“Traducasa”, “we”) takes care of your data and your documents. Here we explain what we keep, why, who we share it with, how long we keep it and how you can ask us to delete it.

1. What data we collect

  • Your contact details: name, email and phone.
  • Your documents: the files you send us and the translation. They may contain sensitive data (for example, Social Security number, medical or identity data). We only use them to do your work.
  • Your order and payment: what you ordered, the price and how you paid. Your card details are handled by the payment gateway; we never see or store them.
  • Your appointments: the day, time, how you chose to meet and anything you tell us in the note.
  • Technical data: IP address, browser and the cookies the site needs to work (for example, your cart and your session).

2. Why we use it

  • To give you a price, translate, certify and deliver your documents.
  • To create your account when you ask for a price, so you can follow your order and download your documents.
  • To contact you about your order or appointment by email, WhatsApp or text.
  • To charge, keep our books and comply with the law.
  • To let any office check that your certificate is authentic, without seeing the content of your document.

We only send you promotions if you give us permission. You can stop them at any time by replying “STOP” (or “BAJA”), or writing to us.

3. Providers that help our team

Every translation is reviewed, signed and backed by a person on our team. To work well we rely on these providers, which only use your data to provide their service to us:

  • Google Cloud: reads your photos and scans to count the words and give you a price.
  • Anthropic: helps our team prepare the draft, which a person reviews, corrects and signs. Before sending, the system replaces names, document numbers and dates with placeholders; the rest of the text is sent.
  • Google Calendar and Google Meet: when you book an appointment.
  • Independent translators: under contract and a confidentiality agreement. They see the document they translate, but not your email, phone or account.
  • DreamHost: where our site is hosted.
  • WordPress, WooCommerce and Jetpack (Automattic): the software behind the site and the store.
  • The payment gateways you choose (for example Stripe, PayPal, Zelle, Venmo or Cash App).
  • Our email provider: to send you prices, notices and documents.
  • WhatsApp (Meta): if you write to us there or get appointment reminders there.
  • Google Maps: shows our office map on the home page.
  • Cloudflare: checks that whoever sends a form or books an appointment is a person and not an automated program.
  • Cal.com: holds appointments made earlier through that system, until we close it.

We also share data with authorities when the law requires it. We do not sell your data and we never share your phone number with anyone for marketing.

4. How long we keep your data

  • Your original documents, the text and drafts: up to 90 days after we deliver your work. Then they are deleted automatically.
  • If you asked for a price and did not pay: your files are deleted after 60 days.
  • Your final certified translation (PDF): 1 year after delivery, so we can send you copies if you need them. Then it is deleted automatically.
  • A minimal record of each certification (code, date, document type and who signed, without the content): 5 years, so any office can verify it.
  • Order and payment data: as long as tax law requires.
  • Your account and appointments: while you keep your account, or until you ask us to delete them.

You can ask us to delete your data sooner by writing to info@traducasa.com.

5. How we protect it

  • The site uses a secure connection (HTTPS).
  • Your files are kept in a private folder that cannot be opened from the internet, and the text of each job is stored encrypted.
  • Only the people working on your order have access, and each one sees only what they need.
  • If someone gets into your data without permission, we will tell you as Florida law requires.

6. Your rights

You can ask us to see, correct or delete your data, or to stop sending you messages. Write to info@traducasa.com and we will reply within 10 business days. We give these rights to everyone, wherever you live.

7. Minors

Our services are for people 18 and older. We do not knowingly collect data from children under 13. If we translate a minor’s document, it is requested and handled by their parent or legal guardian.

8. Changes

If we change this policy, we will post the new date here. If the change is important, we will let you know by email.
